1.Who We Are

The UK Family Office Summit Oxford 2026 (the "Summit"), taking place on 24–25 November 2026 at The Randolph Hotel, Oxford, United Kingdom, is organised and operated by Private Markets Group Ltd ("PMG", "we", "us").

This Privacy Policy applies to the ukfos.com website and to personal information processed in connection with the Summit.

Our group-wide Privacy Policy, covering all PMG brands and services, is available at the Private Markets Group privacy page. Choosing to receive UKFOS communications does not sign you up to communications from other PMG brands; each brand relies on its own separate permission.


2.Who the Summit Community Includes

Participation in the Summit is curated. Subject to the applicable eligibility requirements and organiser approval, the community may include single family offices, wealth owners, UHNW investors, institutional investors and LPs, sovereign wealth funds, International Financial Centres, financial centre authorities, investment promotion agencies, government and public-sector organisations, multi-family offices, investment managers and GPs, private capital professionals, selected advisers and specialists, selected start-ups, scale-ups and innovative private companies, and other approved professional participants.

Different categories of participant are admitted on different terms and pass types. Membership of a particular category does not itself confer eligibility for any specific pass. Current pass categories and eligibility are published at the Attend page.


3.What Information We Collect and Why

3.1 Applications, Registrations and Enquiries

When you apply, register your interest or submit an enquiry through ukfos.com we may collect your name, job title and seniority, organisation name and type, work email address, telephone number (including international dialling code), the pass or partnership route you are interested in, how you heard about the Summit and any message or supporting information you provide.

Purpose: Assessing your application against the published eligibility criteria, responding to your enquiry, and taking steps at your request prior to any contract.

Lawful basis: Steps taken at your request prior to entering into a contract; and our legitimate interests in administering a professional business event and assessing the relevance and accuracy of applications.

3.2 Confirmed Delegate Records

Where an application is accepted, we process the information needed to administer your attendance, including your pass type, invoicing and payment details, badge details, accommodation details where accommodation is included in your pass, and session selections.

Purpose: Delivering the delegate services you have contracted for and administering the event.

Lawful basis: Performance of a contract; legal obligation for invoicing, tax and accounting records.

3.3 Partnership, Private Roundtable and Exhibition Enquiries

When you enquire about or enter into a partnership, a Private Roundtable or an exhibition opportunity, we process your contact details, organisation details, delegation details and the commercial information needed to agree and deliver the arrangement.

Lawful basis: Steps taken at your request prior to contract, performance of a contract, and our legitimate interests in business relationship management. Where the counterparty is an organisation, we process the personal data of its representatives on the basis of our legitimate interests in managing that relationship.

3.4 Opted-In UKFOS Delegate Directory

The UKFOS Delegate Directory is optional. It is not populated automatically by registering for or attending the Summit.

  • Participation: A confirmed delegate must affirmatively choose to appear. There is no pre-ticked opt-in.
  • Information displayed: The professional information you agree to make available. Where you opt in through a delegate application form, this is your name, job title, organisation and email address. Any further professional detail, such as organisation type, a short profile or stated interests, appears only where you choose to supply it.
  • Who may access it: Other confirmed participants who have opted in and approved partners with directory access, in each case for Summit-related professional networking.
  • Not marketing permission: Access to your professional details for networking is not consent to receive marketing. Opting into the Delegate Directory does not authorise PMG, a partner or a sponsor to add you to a marketing list.
  • Purpose: Enabling participants to identify relevant contacts and plan conversations before and during the Summit.
  • Withdrawal: You may withdraw your consent to appear in the Delegate Directory at any time by contacting office@privatemarkets-group.com. We will remove your information from the Directory we control as soon as reasonably practicable. Withdrawal cannot retrieve information that another participant lawfully recorded before withdrawal, and we do not control independent records held by another person.

Lawful basis: Your consent to appear in the directory, which you may withdraw at any time.

3.5 Dietary, Accessibility and Similar Requirements

The forms on ukfos.com do not ask for dietary, accessibility, health or religious information. Where such information is needed to deliver your attendance, we ask for it separately, closer to the Summit, and only to the extent reasonably necessary to make the catering, hospitality, accommodation or access arrangements you have requested.

Where you choose to provide dietary, accessibility or other information that reveals health, disability, religious or other special category personal data, we use that information only to make the arrangements you have requested.

Lawful basis: Our lawful basis under Article 6 UK GDPR is your consent where we request this optional information. Where the information constitutes special category personal data, we rely on your explicit consent under Article 9(2)(a) UK GDPR. You may withdraw that consent, although doing so may affect our ability to provide the requested arrangement.

Any such information:

  • is restricted to the PMG personnel and service providers (such as the venue, hotel or caterer) who need it to make the arrangements you have requested;
  • is not included in the Delegate Directory;
  • is not supplied to partners or sponsors for marketing;
  • is deleted or minimised once it is no longer required for the relevant event, unless a legal reason requires us to retain it.

3.6 Marketing Communications

If you choose to receive UKFOS marketing communications, we may use your name, email address and communication preferences to send you updates from UK Family Office Summit about future events, invitations, Agenda announcements, news and insights.

Marketing consent is optional and is separate from applying for, registering for or attending the Summit. The marketing checkbox on our forms is never pre-ticked, is never bundled with acceptance of the Terms and is never bundled with Delegate Directory participation.

UKFOS marketing permission covers UK Family Office Summit communications only. It does not authorise marketing from UK Private Wealth Magazine, Private Markets Newswire, Private Wealth Voices or any other PMG brand. If you subscribe to Private Markets Newswire through the subscription form in the website footer, that is a separate subscription with its own scope, recorded separately from UKFOS marketing permission.

Lawful basis: Consent where consent is required. Where permitted by applicable direct-marketing law, we may rely on our legitimate interests to send relevant business-to-business communications to professional contacts. Where consent is required, we send marketing only where the required consent or other applicable permission exists.

You have an absolute right to object to the use of your personal data for direct marketing. You may unsubscribe at any time using the unsubscribe link in an email or by contacting us. When you unsubscribe we keep a minimal suppression record so that your preference continues to be honoured; that record is used only to keep you off marketing lists and is not itself further marketing.

Acceptance of the Summit Terms is not consent to marketing, and is not consent to marketing by partners or sponsors. Where our records show that no marketing permission was captured for a historic submission, we do not treat that as consent.

4.How We Use Your Information

We use personal information to:

  • assess applications against the published eligibility criteria and confirm attendee category and pass type;
  • respond to Summit, partnership, Private Roundtable and exhibition enquiries;
  • administer registration, invoicing, payment and attendance;
  • arrange accommodation where it is included in the delegate pass purchased;
  • make the dietary and accessibility arrangements you request;
  • operate the opted-in Delegate Directory for participants who have chosen to appear;
  • produce badges, Agenda materials and event operations records;
  • create editorial, archival and promotional material from the Summit in accordance with section 7;
  • send communications where you have opted in or where direct marketing rules otherwise permit;
  • maintain business, accounting and tax records;
  • maintain the security of our website and event, and prevent and investigate fraud and misuse.

We do not sell personal information. We do not supply delegate contact details to partners or sponsors for their own marketing merely because someone registered for the Summit.


5.Sharing Your Information

5.1 Within PMG

Authorised PMG personnel access personal information where they need it for the purposes described in this Policy. Staff are bound by confidentiality obligations.

5.2 Event Suppliers

We share information with the suppliers who deliver the Summit, including the venue and hotels, caterers, audio-visual and production providers, and, where used, registration, badging and event operations providers. They receive only what they need for their role.

5.3 Partners and Sponsors

Registering for the Summit does not authorise partner or sponsor marketing. Your information may be processed or shared with a partner where you take an affirmative step, for example where you opt into the Delegate Directory within its stated scope, request an introduction or follow-up, give your details directly to a partner, or take part in a clearly identified partner interaction. What is shared will be explained at the point of that interaction.

Directory participation gives other opted-in participants and approved partners access to your professional details for networking. That is not the same as consent to receive marketing from a partner or sponsor, and we do not treat it as such.

Where a partner uses information for its own independent purposes, it acts as an independent controller and is responsible for providing its own privacy information and for its own compliance. We do not control a third party's independent processing after you knowingly provide information directly to it.

5.4 Published Event Content

Agenda recordings, photography and editorial content may be published or distributed through PMG-owned media and appropriate third-party channels in accordance with section 7.

5.5 Service Providers Used to Operate the Website and Communications

We use third-party providers in the following categories:

  • Website analytics: Google Analytics 4, loaded only after analytics cookies are accepted (see section 9).
  • Website form processing: Formspree, which receives and forwards submissions made through forms on ukfos.com and notifies our team by email.
  • Website hosting and backend platform: the hosting and managed backend platform on which ukfos.com is built and served, which also holds the private backup of website form submissions described below.
  • Email and communications: the providers used to send and receive Summit and subscriber communications.
  • Payment and banking: the banking and accounting providers used to issue invoices and receive payment. Card payments are not taken through ukfos.com.

These providers process information on our instructions under the terms of our agreements with them. Where we have not independently verified a provider's processing locations or transfer mechanism, we describe the arrangement at category level rather than making a specific factual claim. A current list of the providers used for a particular processing activity is available on request.

5.6 Website Form Submissions and Private Backup

When you submit a form on ukfos.com, the submission is transmitted through Formspree, which forwards it to our team. After a successful submission we also write a copy to a private backup store in PMG's own backend, so that we hold a reliable record of the request you made and, where a marketing choice was presented, of the choice you made and the exact wording you were shown.

This backup is private. It is not published, it is not the Delegate Directory, it is not a marketing list, and being recorded in it does not make anyone a delegate, speaker, partner or subscriber. Access is restricted to authorised PMG administration. Where no marketing choice was captured, that state is recorded as such and is never converted into consent.

5.7 Legal Requirements

We may disclose personal information where required by law, court order or a regulatory authority, or where necessary to establish, exercise or defend legal claims.


6.International Transfers

Some of our service providers may process personal data outside the United Kingdom. Where a restricted transfer takes place, we use an appropriate lawful transfer mechanism where one is required, which may include UK adequacy regulations, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses, as applicable. Further information about the safeguards applicable to a particular transfer is available by contacting us.

Published event content, including recordings and photography, may be accessible internationally once published.


7.Photography, Filming and Recording

The contractual permissions relating to event content are set out in our Terms and Conditions. This section explains the data protection position, which operates separately. A media licence described in a contract does not remove your statutory data protection rights.

  • Photography and filming may take place at the Summit.
  • Public Main Stage and Agenda sessions may be recorded.
  • Recordings may be edited, published and distributed through PMG-owned media and appropriate third-party channels.
  • Speakers, panellists and Private Roundtable Leads may be captured as an inherent part of their Agenda participation.
  • General event photography may capture delegates in attendance.
  • We may use event imagery for editorial, archival and promotional purposes, subject to applicable law.

Sessions designated as private, closed-door or subject to the Chatham House Rule are not recorded for publication simply because they form part of the Agenda. Where any such session is to be recorded, this will be communicated for that session.

Lawful basis: Performance of a contract for speakers, panellists and Private Roundtable Leads whose participation involves being recorded; and our legitimate interests in documenting, reporting on and promoting a professional business event, assessed against the interests and reasonable expectations of those captured.

You may object to the use of your image or ask us to stop using a particular photograph or recording of you. Contact office@privatemarkets-group.com and we will assess your request under applicable law, including where a request cannot be fully met because material has already been published or distributed.


8.Retention

We retain personal information for as long as reasonably necessary for the purpose for which it was collected and for any applicable legal, accounting, contractual or dispute-resolution requirement. In broad terms:

  • Applications and enquiries, including unsuccessful ones: retained only for as long as reasonably necessary to process, evidence and manage the application or enquiry and any associated legal claims, then deleted or minimised.
  • Delegate administration records: retained for the event cycle and the period reasonably required for contractual, accounting, operational and dispute purposes. Registration does not by itself permit future marketing; any future invitation follows section 3.6.
  • Invoices and accounting records: retained for the period required by UK tax and company law.
  • Partnership contracts: retained for the contract term and the applicable limitation and legal record period.
  • Marketing records: retained while marketing is lawfully sent, with a minimal suppression record retained as necessary after opt-out.
  • Delegate Directory data: retained while you have opted in for the relevant edition, subject to withdrawal; removed from the directory we control on withdrawal or at the end of that edition.
  • Dietary, accessibility and other special category information: deleted or minimised promptly once no longer required for the event arrangements, unless a legal reason requires retention.
  • Security and access records: retained for a limited security and incident period.
  • Event photography and editorial or archival media: retained as part of the event archive and editorial record, subject to your rights and our review of continued use.
  • Agenda recordings: retained for the period necessary for the publication, editorial and archival purposes for which they were made.
  • Website analytics: retained in accordance with the retention setting configured in the analytics platform.

Where PMG's approved retention schedule specifies a precise period, that period applies.


9.Cookies and Analytics

Essential cookies and similar storage are required for website functionality, form submission and security, and to record your cookie choice. These are always active.

Analytics cookies. ukfos.com uses Google Analytics 4. The analytics script is not loaded and no analytics cookies are set until you accept analytics cookies through the cookie banner on this site. If you decline, or later withdraw your choice, the analytics script is not loaded and previously set analytics cookies are removed.

Lawful basis: Consent for analytics cookies and the associated processing; the strict necessity exemption for essential cookies.

You can change your cookie preferences at any time using the Cookie Preferences control below, or by adjusting your browser settings. You may also use Google's Google Analytics opt-out browser add-on.

10.Automated Decision-Making

Applications to attend, to partner or to lead a Private Roundtable are reviewed by PMG personnel. We do not use solely automated decision-making producing legal or similarly significant effects in relation to those applications. If that changes, this Policy will be updated to describe the processing, the logic involved and your related rights.


11.Security

We take appropriate technical and organisational measures to protect personal information, including encryption in transit, access controls, supplier due diligence, staff confidentiality obligations, monitoring and updates, and breach response procedures. No website, transmission method or storage system can be guaranteed to be completely secure.


12.Your Rights

Under UK data protection law you have the right to:

  • Access a copy of the personal information we hold about you.
  • Rectification of inaccurate or incomplete information.
  • Erasure of personal information in the circumstances provided by law.
  • Restriction of processing in the circumstances provided by law.
  • Object to processing based on our legitimate interests, and to object at any time to direct marketing.
  • Data portability where processing is based on consent or contract and carried out by automated means.
  • Withdraw consent at any time where processing is based on consent, including marketing and Delegate Directory participation. Withdrawal does not affect processing carried out before withdrawal.
  • Rights in relation to solely automated decision-making where such decision-making is used.
  • Complain to the Information Commissioner's Office.

You have the right to object at any time to the processing of your personal data for direct marketing. If you object, we will stop using your information for that purpose.

These rights are subject to the conditions, exceptions and limitations set out in applicable law. A right may not apply in full where we have a competing lawful ground to continue processing or retaining information, for example a legal obligation, the establishment or defence of legal claims, freedom of expression and information, or archiving purposes. We assess each request on its facts and explain the outcome. Contractual permissions relating to event media do not automatically remove your right to make an erasure request.

13.Adults Only

ukfos.com and the Summit are intended for business and professional use by adults aged 18 or over. We do not intend to collect personal information from children. If we become aware that we hold personal information relating to a child, we will review it and delete or restrict it unless we are required to retain it for legal, accounting or security reasons.

15.Changes to This Policy

We may update this Policy from time to time. The current version is always published on this page with the Last Updated date shown above. Where required by law we will provide additional notice of material changes or seek fresh consent. Continued use of ukfos.com is not treated as acceptance of a revised Policy.
